Before your journey

Booking & Travel Conditions

Thank you for choosing Machupicchu Inka. These conditions explain how reservations, payments, changes, and cancellations are handled for all our individual tours, trekking experiences, and multi-day travel packages.

Please read these terms together with your quotation, itinerary, and booking confirmation. Your booking documents identify the agreed services, price, travel dates, and any specific requirements disclosed before payment.

01 / RESERVATIONS

Booking & Confirmation

All reservations are subject to availability. Sending an enquiry or receiving a quotation does not guarantee tickets, permits, accommodation, or a place on a particular departure.

  1. Send your booking details. Tell us your selected tour or package, preferred travel date, number of travelers, and the information requested for the included services.
  2. Pay the initial deposit. A 50% deposit of the total tour or package price is required to request your reservation.
  3. Receive written confirmation. Your booking is confirmed when we send written confirmation identifying the services secured for you.
  4. Review your reservation. Check traveler names, dates, included services, payment arrangements, and meeting details. Notify us promptly of any errors.

The applicable payment and cancellation conditions will be provided before payment. Payment made after receiving those conditions records your acceptance of them, without limiting mandatory legal rights.

If a requested service cannot be confirmed, we will explain the available alternatives. If you decline an alternative, payments for the unconfirmed service will be returned without a voluntary-cancellation charge.

Group reservations: the person making a booking on behalf of other travelers must be authorized to do so and share the itinerary and booking conditions with everyone included in the reservation.
02 / DEPOSITS & BALANCE

Deposit, Final Payment & Reconfirmation

The same standard payment arrangement applies to all our tours, treks, and travel packages: 50% to reserve and the remaining 50% no later than 48 hours before the first included service.

50%

Initial Deposit

Required to request your reservation and begin arranging the included services.

48 hours

Remaining Balance

Pay the remaining balance before the first included service of your tour or package.

7 days

Reconfirm Your Trip

Contact us to review your arrival, accommodation, meeting point, and final arrangements.

Payment arrangements for your remaining balance
Trip arrangement How to pay Payment deadline
Tours and packages starting in Cusco At our Cusco office, or through our secure Izipay payment link with a 7% processing fee. No later than 48 hours before the first included service.
Tours and packages starting outside Cusco Through our secure Izipay payment link, with a 7% processing fee. No later than 48 hours before the first included service.
Last-minute reservations Full payment through the agreed payment method at the time of booking. Before the confirmed service begins.

Last-Minute Bookings Are Welcome

You may also book for tomorrow or within 48 hours of departure, subject to availability and written confirmation. These reservations require full payment at the time of booking.

The applicable cancellation conditions will be provided before payment and also apply to last-minute reservations.

Reconfirming Your Tour or Package

Please contact us seven calendar days before your trip to reconfirm your arrival arrangements, accommodation, contact number, and any equipment or assistance requests.

If you book fewer than seven days before departure, we will coordinate these details when confirming your reservation. Failure to reconfirm alone does not automatically cancel your booking or constitute a no-show.

Packages & Arrival in Cusco

For a package, deadlines are calculated from the first included service, which may be an airport transfer, hotel stay, or excursion.

If your arrival in Cusco does not allow you to visit our office before the payment deadline, please arrange payment through our Izipay link in advance.

Time reference: all deadlines use local time in Cusco, Peru (UTC−5). Payment deadlines and cancellation charges are separate conditions. A balance due 48 hours before departure does not change the cancellation schedule in Section 06.
03 / PRICES & PAYMENTS

Prices & Processing Fees

Your quotation states the currency, total price, whether the rate is per person or per group, accommodation basis, included services, and any minimum participant requirement.

Online payments are made through the secure Izipay payment link provided for your reservation. A separate 7% processing fee applies to each amount paid through the link and will be shown before payment.

This fee is separate from the tour price and does not reduce your remaining balance. If you pay both the deposit and the balance through Izipay, the fee applies separately to each payment.

The Izipay processing fee does not apply to cash payments at our office.

Example: for a US$600 tour, the 50% deposit is US$300. Paying that deposit through Izipay adds US$21, making the initial payment US$321. Your remaining tour balance is US$300. If you also pay that balance through Izipay, the second payment is US$321.

Currency & Bank Charges

Your bank or card issuer may apply separate currency-conversion or international transaction charges. To pay in Peruvian soles, request the applicable amount and exchange rate before payment.

Your Confirmed Price

Your confirmed price remains unchanged for the agreed services. Optional upgrades, rentals, extra nights, and changes requested after confirmation are quoted separately before you agree to them.

04 / DOCUMENTS & ENTRY TICKETS

Traveler Details & Entry Reservations

Accurate information is essential when arranging tickets, permits, accommodation, and other services. Traveler names must match the passport or identity document used for the reservation.

  • Required information: depending on your itinerary, we may request your full name, nationality, date of birth, document number, and a clear document copy where required for the included services.
  • Original documents: carry the original document accepted for each service. A photograph or copy may not be accepted for entry.
  • Passport renewals and corrections: notify us promptly. Changes depend on the rules of the issuing authority or provider.
  • Machu Picchu: entry dates, circuits, and times are subject to availability. Your confirmation identifies the arrangements secured for your visit.
  • Inca Trail: permits may have strict restrictions on changes to dates, traveler names, and identification details. Do not assume a confirmed permit can be transferred.
Ticket restrictions: relevant restrictions will be explained before payment. Where corrections or replacements are possible, we will explain the available option and its cost. We remain responsible for errors attributable to us.
05 / SERVICES & EXTRAS

Included Services & Optional Extras

Only the services expressly listed in your confirmed quotation and itinerary are included in the booking price. Inclusions vary by tour and package.

06 / CANCELLATIONS & REFUNDS

Cancellation Conditions

To cancel your reservation, send a written request through your original booking channel or email machupicchuinkatravelagency@gmail.com . Include the lead traveler’s name, booking reference, departure date, and services to be cancelled.

Non-Refundable Initial Deposit

The 50% initial deposit is non-refundable when you voluntarily cancel a confirmed reservation, subject to applicable law. This deposit is used to arrange and secure services for your trip.

The following schedule applies to all individual tours, treks, and travel packages. Notice is measured from receipt of your written request to the scheduled start of the first included service.

Voluntary cancellation schedule
Notice before departure Cancellation charge Refund treatment
More than 7 calendar days 50% of the total tour or package price The initial deposit is retained. Any tour payments exceeding this charge are refundable.
7 calendar days or fewer 100% of the total tour or package price No refund is due for voluntary cancellation within this period.
No-show 100% of the total tour or package price No refund is due for the missed reservation.
Your deposit is included in the charge: a 100% cancellation charge means the total booking price, including your deposit. It does not mean the total price plus an additional 50%. Any cancellation amount claimed beyond payments already received must be supported by the accepted booking conditions and applicable law.

Last-Minute Reservations

Reservations confirmed seven calendar days or fewer before departure fall within the 100% voluntary cancellation period from confirmation. This condition will be provided before payment.

Refund Calculation

If payments toward the tour price exceed the applicable cancellation charge, the eligible difference will be refunded. We will provide an explanation of the calculation.

Refund Methods

Eligible refunds are arranged in cash at our Cusco agency or by bank transfer, as agreed with the person entitled to receive them. The amount and payment arrangements will be confirmed in writing.

If applicable law or binding payment-provider rules require another refund method, those requirements will be followed.

Processing Fees & Transfer Charges

Separately charged processing fees are excluded from the refundable tour amount only where they were disclosed before payment, actually incurred, and cannot be recovered, subject to applicable law.

Any actual bank-transfer or currency-conversion charge affecting the refund will be disclosed in advance. No duplicate deduction or additional undisclosed agency fee will be applied.

Different cancellation circumstances: this schedule applies to voluntary cancellation by the traveler. Agency cancellation, official closures, and exceptional events are addressed separately below. Mandatory refund rights remain applicable.
07 / BOOKING CHANGES

Changes to Your Reservation

Request changes in writing as early as possible. A requested change becomes effective only when we confirm it in writing.

  • Travel dates: changes depend on availability and the rules applicable to the booked tickets, accommodation, and other services.
  • Traveler names: correcting a name and replacing a traveler are different requests. Some tickets and permits cannot be transferred.
  • Deposits: a deposit cannot automatically be transferred to another traveler, date, tour, or package. Any possible change requires written approval.
  • Additional costs: replacement tickets, new permits, price differences, or logistical changes may incur charges. These will be explained before you agree to proceed.
Your original booking: requesting a change does not automatically cancel your reservation, extend payment deadlines, or suspend the cancellation conditions.
08 / PICKUPS & TRANSPORTATION

Meeting Points & Travel Connections

Your pickup time and meeting location will be confirmed before departure. Be ready at the agreed location and keep your contact number available.

  • Hotel pickups: availability depends on the location and accessibility of your accommodation. A nearby meeting point may be necessary.
  • Shared departures: collection times may vary while other travelers are picked up. Follow the confirmed pickup window.
  • Travel times: journey durations are estimates. Traffic, weather, operating conditions, and safety requirements may affect arrival times.
  • Transport tickets: schedules, stations, travel class, and baggage restrictions follow your confirmed arrangements.
  • Independent changes: contact us before changing a transfer or connection, as this may affect the remaining itinerary.

Allow sufficient time between your tour and separately booked flights or onward travel. Tell us about fixed connections before booking so we can assess whether the itinerary is suitable.

09 / ACCOMMODATION & MEALS

Hotels, Camps & Dietary Requests

Accommodation follows the category, number of nights, and occupancy stated in your quotation. Specific properties, room types, or amenities are guaranteed only when expressly confirmed.

  • Room occupancy: prices may be based on shared occupancy. Single or private rooms may require a supplement.
  • Bed preferences: request double, twin, or other arrangements in advance. Availability must be confirmed.
  • Check-in and check-out: times follow the accommodation’s rules. Early check-in, late check-out, and extra nights may incur additional charges.
  • Camping: accommodation type and shared facilities follow the selected trekking itinerary.
  • Meals: only meals expressly listed in your itinerary are included.

Dietary Requirements & Allergies

Tell us about relevant dietary requirements before booking or as early as possible. We will check what can be arranged, particularly on remote routes.

A particular dietary arrangement or allergen-free environment is not guaranteed unless the available arrangements have been expressly confirmed. Share relevant health information through an appropriate private channel.

10 / WEATHER & EXCEPTIONAL EVENTS

Weather, Route Conditions & Safety

Outdoor travel depends on natural conditions. Clear views, particular photographic conditions, and wildlife sightings cannot be guaranteed.

Ordinary rain, clouds, fog, cold, light snowfall, or poor visibility do not by themselves cancel a tour when the route remains safely operable.

Exceptional Restrictions

Official closures, unsafe routes, landslides, strikes, transport disruption, or other exceptional events may require changes, postponement, or cancellation.

We will explain the effect on your booking and the available options. These may include an alternative, rescheduling, or a refund where applicable, depending on the circumstances and your rights.

Financial treatment depends on the affected services, what can be provided, recoverable amounts, and mandatory legal rights.

Safety decisions: guides may need to act immediately to protect travelers. Any proposed additional service or charge will be explained before agreement whenever circumstances permit.
11 / CHANGES OR CANCELLATION BY US

If a Confirmed Service Cannot Be Provided

If we cannot provide a confirmed service, we will contact you and explain the available options. You may accept a suitable alternative or receive the refund due for services not provided, according to the circumstances and applicable law.

Our inability to provide an agreed service will not be treated as a voluntary cancellation by you.

Minimum Participant Requirements

If a departure requires a minimum number of travelers, the requirement, decision date, and available options if that minimum is not reached will be disclosed before payment.

Material Changes

If a proposed change materially affects your confirmed itinerary or service, we will explain the change and the applicable options and request your agreement where required.

12 / HEALTH, SAFETY & INSURANCE

Preparing for Your Experience

Some experiences involve altitude, strenuous walking, remote locations, or adventure activities. Review the physical requirements and practical conditions of your selected itinerary before booking.

  • Personal preparation: seek appropriate medical advice when needed and allow suitable preparation and acclimatization for demanding high-altitude activities.
  • Assistance needs: tell us about relevant restrictions or support requirements so we can assess available arrangements.
  • Safety instructions: follow lawful instructions from guides and activity personnel and use required safety equipment.
  • Responsible behavior: respect other travelers, local communities, archaeological sites, and the environment.
  • Minors: the responsible adult must arrange the documents and permissions required for the selected services. Age and activity restrictions must be checked before confirmation.

Travel Insurance

Travel insurance is not included unless expressly stated in your quotation. We strongly recommend coverage suitable for your itinerary, including cancellation, interruption, medical treatment, and emergency evacuation where relevant.

Check altitude limits, covered activities, exclusions, and claim requirements directly with your insurer. A policy may not cover every reason for cancellation.

13 / LATE ARRIVALS & UNUSED SERVICES

No-Shows, Early Departure & Unused Services

Contact us immediately if you expect to be late or cannot attend a scheduled service. Shared departures and fixed transport connections may be unable to wait.

A no-show is subject to a 100% cancellation charge. If you voluntarily leave after the trip begins or choose not to use an included service, unused portions are not refundable, subject to applicable law.

If a personal health issue prevents participation, contact us promptly. The applicable cancellation or unused-service conditions will be assessed according to the circumstances and your legal rights. Your insurer may provide coverage under its own terms.

Extra accommodation, meals, transport, or other arrangements requested because of an early return or voluntary change are charged separately and explained where possible before agreement.

Pre-tour briefing: if you cannot attend, contact us to arrange essential instructions. Missing a briefing alone is not automatically treated as a no-show for the entire trip.
14 / RESPONSIBILITIES & YOUR RIGHTS

A Clear Booking Agreement

Machupicchu Inka coordinates the services described in your booking and remains responsible for the obligations it assumes. Services may be delivered by qualified local providers according to the confirmed arrangements.

Travelers are responsible for providing accurate information, meeting entry requirements, following safety instructions, and taking reasonable care of their belongings.

Nothing in these terms excludes responsibility or consumer rights that cannot lawfully be excluded. Responsibility for a particular incident depends on its circumstances and applicable law.

Booking-Specific Conditions

Any special restriction or additional requirement must be disclosed before payment. A specific condition takes precedence only where clearly disclosed, accepted, and consistent with applicable law.

Applicable Law & Policy Updates

These terms are governed by applicable Peruvian law, without restricting mandatory protections or competent complaint channels.

The conditions accepted for your reservation apply to that booking. Later website updates do not automatically change existing agreements. Any agreed amendment must be confirmed in writing.

15 / CONTACT INFORMATION

Questions, Complaints & Contact

If a concern arises during your trip, tell us promptly so we can try to resolve it. This does not restrict your right to make a formal complaint.
